Terms of Use
Last reviewed 17 August 2026
These terms govern your use of the EasyQualityFlow website and service.
1. Acceptance
By accessing this website or using the service you agree to these terms. If you do not agree, please do not use them. If you are agreeing on behalf of an organisation, you confirm you have authority to bind that organisation, and "you" refers to it.
Where a separate written agreement exists between us and your organisation, that agreement governs and prevails over these terms to the extent of any conflict.
2. The service
EasyQualityFlow is quality engineering software provided over the internet. We may add, change or remove features as the product develops. Where a change would materially reduce core functionality you are relying on, we will take reasonable steps to give notice.
Roadmap items described anywhere on this website are statements of current intention, not commitments, and must not be relied upon in a purchasing decision. Only features available in the service today are being offered.
3. Accounts and your responsibility
You are responsible for the accuracy of your account details, for keeping credentials confidential, for all activity under your account, and for promptly telling us at support@easyqualityflow.com if you believe an account has been compromised. You are responsible for managing your own users’ access and permissions within the service.
4. Authorised use
You may use the service for your organisation’s internal business purposes, in accordance with these terms and applicable law.
5. Prohibited use
You must not: use the service unlawfully or to facilitate unlawful activity; attempt to access accounts, data or systems you are not authorised to access; probe, scan or test the security of the service except under a written arrangement with us; interfere with or place unreasonable load on the service; reverse engineer, decompile or attempt to derive source code except where such a restriction is prohibited by law; resell, sublicense or provide the service to third parties as a service of your own without our written agreement; upload malicious code; upload content you have no right to upload; or remove or obscure proprietary notices.
6. Your data
You retain all rights in the data your organisation enters. You grant us a limited licence to host, process, transmit, back up and display it strictly as necessary to provide and support the service, and for no other purpose.
You are responsible for having the right to submit the data you submit, including where it contains personal data or a third party’s confidential or licensed material. In particular, and because it matters in this field: you are responsible for holding valid licences for any industry reference material, rating tables or customer requirement documents you load into the service. We do not supply those and they are not included with the software.
7. Intellectual property
The service, this website, and their software, design, text and trade marks are owned by us or our licensors and are protected by intellectual property law. These terms grant you a right to use the service, not any ownership of it. Feedback you choose to send us may be used to improve the service without obligation to you, and we will not identify you as its source without your permission.
8. Third-party services
The service may interoperate with third-party systems at your direction, including a connection to your own ERP or other business systems. Those systems are not ours; we are not responsible for their availability, accuracy or security, and your use of them is governed by your arrangements with their providers.
9. Availability and maintenance
We aim to keep the service available and reliable, and we will make reasonable efforts to schedule planned maintenance to limit disruption and to give notice of it where practicable. Unless a separate written agreement states otherwise, the service is provided without a specific uptime commitment, and interruptions may occur — including for maintenance, for reasons attributable to third-party infrastructure, or for events beyond our reasonable control.
10. Professional responsibility — please read this one
The service supports quality engineering activities. It does not replace the professional judgement of your engineers, your organisation’s obligations to its customers or regulators, or your responsibility for the accuracy and adequacy of your own quality records and decisions.
We do not represent that using the service will result in compliance with any standard, certification, customer requirement or regulation, or that any audit, submission or approval will succeed. Those outcomes depend on your processes, your data and your decisions.
11. Disclaimer of warranties
To the maximum extent permitted by applicable law, the service and website are provided "as is" and "as available", and we disclaim all warranties not expressly stated, whether express, implied or statutory, including implied warranties of merchantability, fitness for a particular purpose, non-infringement, and any warranty that the service will be uninterrupted, error-free or that all defects will be corrected.
Nothing in these terms excludes or limits any warranty, right or remedy that cannot lawfully be excluded or limited, including certain consumer rights where they apply to you.
12. Limitation of liability
To the maximum extent permitted by applicable law:
- Neither party is liable for indirect, incidental, special, consequential or punitive damages, or for loss of profits, revenue, anticipated savings, goodwill or business opportunity, however arising.
- Our total aggregate liability arising out of or relating to the service and these terms is limited to the greater of the amounts paid by you to us for the service in the twelve months before the event giving rise to the liability, or one hundred United States dollars.
These limits do not apply to liability that cannot lawfully be limited — including, where applicable, liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for any other liability the applicable law does not permit to be excluded. If applicable law does not allow some of the above exclusions or limits, they apply to you only to the extent permitted.
13. Indemnity
You agree to indemnify us against third-party claims, and reasonable costs arising from them, to the extent they result from your breach of these terms, your unlawful use of the service, or your submission of data you had no right to submit. We will notify you promptly of any such claim, allow you to control its defence where you accept responsibility for it, and cooperate reasonably at your expense.
14. Suspension and termination
You may stop using the service at any time. We may suspend or terminate access where you materially breach these terms, where use of the service threatens its security, integrity or availability, or where required by law. Except in urgent cases we will give notice and, where reasonable, an opportunity to remedy the problem.
On termination, your right to use the service ends. We will make your data available for export for a reasonable period on request before deleting or anonymising it, unless we are legally required to retain it. Provisions that by their nature should survive termination — including intellectual property, disclaimers, liability limits and indemnity — survive.
15. Changes to these terms
We may update these terms as the service or the law changes. We will update the review date above and, for material changes, take reasonable steps to notify account administrators. Continued use after a change means you accept the revised terms. If you do not accept them, stop using the service.
16. General
If any provision is held unenforceable, the rest remains in force and that provision applies to the greatest extent permitted. A failure to enforce a provision is not a waiver of it. You may not assign these terms without our written consent; we may assign them in connection with a merger, acquisition or sale of assets. These terms, together with any separate written agreement, are the entire agreement between us on this subject.
17. Governing law and disputes
[To be completed: the governing law and the courts or arbitral forum for disputes, to be settled with a qualified lawyer for the operating entity’s jurisdiction.] We would rather leave this marked as outstanding than name a jurisdiction that has not been properly determined. Before commencing formal proceedings, please contact support@easyqualityflow.com so we can try to resolve the matter directly.
